Client Agreement
(for Businesses & Organizations)

Thank you for considering Desk to Flow, the yoga and mobility program for startup teams. These terms establish a clear professional framework for our partnership and ensure everything runs smoothly between us.

1. Services Covered

This agreement applies to group yoga & mobility sessions for up to 10 participants per session, billed on a per-session basis. Sessions may be conducted at your office, external venues, or online, as agreed in advance. Two formats are possible:

  • Mat-based yoga (recommended): Hatha and Vinyasa sequences targeting desk-related tension (hip flexors, shoulders, thoracic spine). Your organization purchases and stores up to 10 mats on-site (approximately €150-250 one-time investment; I can help source them or order wholesale).

  • Chair-based yoga: Standing and seated mobility requiring no mats or equipment, suitable for desks or meeting rooms.

2. Health and Safety Responsibilities

Your organization confirms that participants receive basic session guidelines and are generally suitable for gentle yoga practice. Please communicate any relevant group health considerations or accessibility needs prior to our first session.

Logistics by session type:

  • Office sessions: You provide clear floor space and store mats on-site.

  • Chair sessions: Conducted at desks or in meeting rooms with no setup required.

  • Online sessions: You provide stable internet and video platform access.

Participants agree to listen to their bodies and discontinue practice if they experience discomfort. Your organization maintains responsibility for workplace health and safety compliance (Arbowet).

3. Risk and Liability

Yoga and mobility practice involve inherent risks including muscle strains and slips. Your organization assumes responsibility for participant safety during sessions. I am not liable for any injuries, damages, or losses except in cases of my gross negligence as defined under Dutch law.

4. Billing and Payment Terms

Fees are quoted per session for up to 10 participants. Payment is due Net 30 days from invoice date. Late payments will incur standard commercial interest rates.

5. Scheduling and Cancellation Policy

Provide 14 days' written notice for cancellations or rescheduling. The full session fee applies regardless of full participant attendance. Both parties may cancel due to force majeure circumstances such as illness or unforeseen events.

6. Operational Responsibilities

I commit to: Delivering professional, workplace-appropriate sessions tailored for desk-based teams. Accessibility accommodations are welcome with advance notice.

Your organization ensures: Session space, participant coordination, internal communication, and on-site mat storage (if using mat-based format).

7. Data Protection

I process minimal participant information (names and basic session needs) solely for session delivery, acting as your GDPR-compliant data processor. All data remains secure and is deleted upon contract completion. A formal data processing agreement is available upon request.

8. Intellectual Property and Recordings

Participants may not record, reproduce, or distribute session content without my prior written authorization. Online sessions require your organization's reliable technology infrastructure.

9. Term and Termination

Sessions continue per the agreed package schedule. Either party may terminate with 30 days’ notice, or immediately in cases of safety violations or material contract breaches.

11. Governing Law and Jurisdiction

This agreement is governed by the laws of the Netherlands. Any disputes will be resolved under Dutch law in the courts of Utrecht, unless alternative dispute resolution is mutually agreed.

Booking these sessions constitutes your organization's formal acceptance of this agreement.
